You can export one room or a whole project as a PDF or an Excel spreadsheet (.xlsx).

![The room menu, then Export to PDF, then List export settings with Show prices](https://densy.io/images/help/en/how-to-export-project-to-pdf/export-pdf.mp4)

## Export a room

1. Open the room and click ⋯ (Options) in the top right.
2. Under **Export**, choose **Export to PDF** or **Export to XLSX**.
3. For a PDF, pick **List layout** (every detail) or **Grid layout** (photos only), and **Portrait** or **Landscape**. Click **List export settings** or **Grid export settings** to choose what goes in.
4. Click **Export room**.

On Free, a PDF has "Created with densy.io" at the bottom of each page; on Densy Plus it doesn't, and it can carry your logo.

## Export the whole project

A project export puts every room into one PDF or one spreadsheet. It needs Densy Plus.

1. Open the project, click ⋯ (Options) in the top right and choose **Export to PDF** or **Export to XLSX**.
2. Choose the settings, the same as for a room. A project PDF can start with a cover page: leave **Include cover page** ticked.
3. Click **Export project**.

**Export entire project** in the same menu packs a spreadsheet for every room, all project files and every product's photos into one .zip. Click **Start export**; the download link comes in a notification and works for 7 days. It's your own backup, with hidden products and trade prices, so don't send it to a client.

## What you can choose in a PDF

**List layout** is a list of products with their details and prices. In its settings you switch on and off **Show prices**, totals, services, **Show alternative options**, each product detail, custom specs, product links, client notes, your logo and the date.

**Grid layout** is a page of product photos, with no prices or details. You choose the **Image size** and whether to **Divide into sections**. Products without a photo are left out.

### Projects with markup mode

When a project has **Markup mode** on, the list layout asks for an **Audience**:

- **Client copy**: the prices your client pays, without your trade discount, markup or profit. This is the default for a PDF.
- **Internal copy**: your trade price, markup and profit next to each client price.

The file name of an internal copy ends in `-internal`, so you don't send the wrong one.

## What you can choose in a spreadsheet

A spreadsheet always has quantities and prices; in its settings you choose the rest, such as **Show images**, links and alternatives. With markup mode, it starts on **Internal copy**: switch to **Client copy** before you send it to a client.

## What's in an export

- Products you've hidden with **Hide from clients** are left out of PDFs and spreadsheets. Rooms hidden from clients are included in project exports.
- Image rows aren't in PDFs or spreadsheets. The .zip includes their pictures.
- An export is a copy of that moment. If you change the project later, export again.

A PDF has its own settings and doesn't follow a client's permissions on their link. For those, see [How do I control what a client can see and do?](https://densy.io/en/help-center/how-to-manage-client-permissions-and-visibility)
